1. Who We Are

Voluntier LLC ("Voluntier," "we," "us," or "our") operates the Voluntier platform at voluntier.us. We are a Pennsylvania limited liability company with our principal place of business in Philadelphia, PA.

This Privacy Policy explains how we collect, use, store, protect, and share information about you when you use our services. It applies to all users of the Platform, including volunteers, nonprofit organizations, and visitors.

By using the Platform, you agree to the collection and use of your information as described in this Policy. If you do not agree, please do not use the Platform.

Information from Third Parties

If you sign in with Google, we receive your name and email address from Google as part of the OAuth process. We do not receive your Google password, payment information, or any data beyond what is necessary for authentication.

Technical & Usage Information

We automatically collect certain technical information when you use the Platform, including IP address, browser type, device type, operating system, and pages visited. This data is used solely for security monitoring, troubleshooting, and improving the Platform. It is not linked to your personal profile for marketing purposes.

We use the information we collect only for the following purposes:

We do not sell your personal information. We share your information only in the following limited and necessary circumstances:

With Organizations (Volunteers)

When you register for or check in to a volunteer event, the hosting organization can see your name, email address, and hours contributed through their dashboard. This is necessary for organizations to manage their programs and generate grant reports. Organizations agree to our Terms of Service, which strictly limit how they may use this information.

With Volunteers (Organizations)

Organization names and event listings are visible publicly on the Platform to help volunteers discover opportunities.

Service Providers

We use the following trusted third-party services to operate the Platform. Each provider processes your data only to the extent necessary to provide their specific service:

These providers are contractually bound to protect your data and may not use it for any purpose other than providing services to Voluntier.

Legal Requirements

We may disclose your information if required to do so by law, court order, subpoena, or other valid legal process, or if we believe disclosure is necessary to protect the rights, property, or safety of Voluntier, our users, or the public.

Business Transfers

In the event of a merger, acquisition, bankruptcy, or sale of all or substantially all of Voluntier's assets, your information may be transferred as part of that transaction. We will provide notice before your information becomes subject to a materially different privacy policy, and you will have the opportunity to delete your account before any such transfer takes effect.

With Your Consent

We may share your information for any other purpose with your explicit prior consent.

5. Aggregate & Anonymous Data

We may create, use, and share anonymized aggregate data — statistical information that cannot be used to identify any individual — for research, reporting, and platform improvement purposes. Examples include:

This aggregate data may be shared with or licensed to government agencies, foundations, research institutions, or corporate partners to advance the understanding of civic engagement and volunteerism. This aggregate data will never include your name, email address, or any other information that could identify you personally.

We apply industry-standard anonymization practices (including k-anonymity standards) to ensure that individual users cannot be re-identified from any aggregate data we share.

Opt-out: If you prefer that your activity data not be included in aggregate reporting, you may opt out at any time by emailing privacy@voluntier.us with the subject line "Aggregate Data Opt-Out." This will not affect your ability to use the Platform.

6. Email Communications (CAN-SPAM Compliance)

Voluntier sends two categories of email:

Transactional Emails

These are emails necessary to operate your account and cannot be opted out of while your account is active. They include account confirmation, password resets, event registration confirmations, check-in confirmations, and event change or cancellation notices.

Promotional Emails

From time to time, we may send emails about new Platform features, volunteer opportunities, or Voluntier news. Every promotional email includes a clearly visible unsubscribe link. You can opt out of promotional emails at any time by clicking that link or by emailing privacy@voluntier.us.

7. Children's Privacy (COPPA)

Protecting children's privacy is important to us. The Voluntier Platform is not directed to children under the age of 13, and we do not knowingly collect personal information from children under 13.

If you are under 13 years of age, do not create an account or submit any personal information to the Platform.

If we discover or are notified that we have collected personal information from a child under 13 without verifiable parental consent, we will delete that information immediately and terminate the associated account.

Users between the ages of 13 and 17 should have obtained parental or guardian consent before using the Platform. Parents or guardians who believe their child has provided personal information to Voluntier without consent should contact us immediately at privacy@voluntier.us. We will investigate and respond within 5 business days.

We do not collect any personal information beyond what is listed in Section 2 from any user, including minors, and we do not use any user's information for targeted advertising.

We retain your personal information for as long as your account is active or as needed to provide services. Specifically:

No method of electronic storage or transmission is 100% secure. While we work hard to protect your data, we cannot guarantee absolute security. We encourage you to use a strong, unique password for your Voluntier account.

10. Your Rights & Choices

You have meaningful control over your personal information. Here's what you can do:

11. California Privacy Rights (CCPA)

If you are a California resident, the California Consumer Privacy Act (CCPA) provides you with additional rights regarding your personal information.

In the past 12 months, we have collected the following categories of personal information as defined by the CCPA: identifiers (name, email, IP address), professional or employment-related information (volunteer hours, org role), and internet or electronic network activity (pages visited, device type).

How to Submit a CCPA Request

Email privacy@voluntier.us with the subject line "CCPA Request." We will verify your identity and respond within 45 days. If we need additional time, we will notify you of the extension within the initial 45-day period.

12. Changes to This Policy

We may update this Privacy Policy from time to time as our Platform evolves or as legal requirements change. When we make material changes that affect how we collect or use your personal information, we will:
